For organizers - information on the coronavirus

When delegating tasks, it is advisable to have clear structures in which each employee knows his or her task. The respective skills of the employees should come into play here. For example, those employees who are particularly well versed in these areas can take over the technology or the meal planning.ervice

On March 11, 2020 the World Health Organization (WHO) upgraded the severity of the current outbreak of the coronavirus-borne disease (COVID-19) from a "health crisis of international proportions" to a pandemic. This has far-reaching consequences for our global event community in the affected areas. We follow the official guidelines of the health authorities, state governments and the WHO closely to promote the health and well-being of our users.

Make the decision to cancel or postpone

The decision whether your event can take place is not easy. We fully understand this and would like to support you.

Here is some useful information to help you make an informed decision:

1. The World Health Organization (WHO) compiles current information on the COVID-19 situation in the various regions. The WHO publishes specific guidelines on how to prepare your event for problems related to COVID-19.

2. Read the recommendations of your local or state health authority.

Convert a live event into a virtual one

In addition to an event cancellation or postponement, there is also the option of holding your event virtually. Please indicate under "Location" that it is an online event without a physical address. And this is how it works:

1. Click on the event in your account under "Manage events".
2. In the event dashboard, scroll to Basic Information.
3. Select the pencil icon next to the venue.
4. Click the "Venue" drop-down menu and select "Online Event".
5. Follow these instructions to create a live stream event page.

You should also follow two more steps, if you want to convert your live event into a virtual one.

1. Notify your attendees of the changes.

2. Insert the link to the live stream in your participant email or send the link at a later time. When you convert your event from a live event to an online event, the link to the live stream is not automatically sent to your attendees.

Move event

Refunds are not absolutely necessary for postponements. But you should notify your participants as soon as possible and communicate your project clearly.

• Include your refund policy in the notice.
• Indicate when the new appointment will be set and how it will be communicated.
• If you offer refunds, provide instructions to your attendees on how to request a refund.

A team building company outing is particularly promising if one or more new employees come to the company. The excursion supports those involved in the re-discovery phase and helps to harmonize the individual strengths of the team members..

Cancel the event

If you need to cancel an event, the first thing to do is inform your attendees and provide refunds. You can then end the event in the event dashboard with "Cancel" so that it is no longer publicly available on Eventbrite.

Tips for special precautions

As an event organizer, you have a particular duty to take precautions to promote exemplary behavior in connection with health protection and hygiene at your event. Every event is unique - also in terms of the risks.

Refund orders

If you need to make a refund because of the coronavirus , please state "COVID-19" as the reason for the refund. All Eventbrite fees will then be refunded.
