“What kind of work do you do?” It is a common question to meet someone for the first time. If your answer is, "I'm in event management,” you'll most likely get additional questions about what exactly it means.

Indeed, you may be asked if you are a party planner or a meeting planner. In the event planning profession, job titles are as diverse and numerous as the services provided and can often be difficult to describe and distinguish from the future.

It can be challenging when preparing an event planning portfolio, looking for work, or working with a client who does not have an accurate understanding of your job function and responsibilities.

Event management and event planning

While very closely related, event management and event planning are two very different functions. The main difference lies in these two words: management and planning. In very simple terms, event managers manage the event and event planners plan the event.

That being said, event managers can plan aspects of events and event planners can manage certain components of the event planning process. Event managers and event planners work side by side and their responsibilities can overlap.

To make matters even more confusing, individual event planners often provide event management services, and event managers can also provide event planning services. If all of this is scratching your head, then let's start by taking a closer look at event management.

Event Management includes Project Management

Event management involves the creation and development of large-scale events that can include conferences, conventions, concerts, trade shows, festivals and ceremonies. Event management involves identifying the target audience, formulating the concept of the event, planning the overall logistics of the event, and performing event project management as a whole - including managing the teams of persons responsible for each function, budget, and oversight execution of the event.

Event managers also oversee the services of all external vendors and professionals, including event planners.

The specific responsibilities of an event manager may include:

§  Selection and reservation of seats

§  Coordination of external vendors

§  Speaker engagement or entertainment

§  Organization for transport and parking

§  Obtaining the necessary permits and proper security

§  Responsibility for compliance with health and safety standards

§  Development of emergency plans

§  Crisis and situation management at the event

§  Develop a security plan

§  Event monitoring

This list is by no means exhaustive. Depending on the purpose of the event and other professionals employed, job responsibilities may vary.

The Role of Event Management Services

Event management firms are often hired to plan and execute large company meetings and special events. While weddings and concerts are common events management events, sporting events, reunions and big parties are also occasions that can benefit from event management.

Government entities, nonprofits, associations, and corporations use all event management companies to coordinate important events and meetings. The event management function can often be found in a corporate marketing or public relations department or as part of their dedicated event staff.

Ability to achieve success

As with most event planning functions, event management requires excellent organizational skills to succeed the ability to multitask and manipulate many moving parts is essential and with that high level organization comes the need for efficient skills time management.

Being able to prioritize and stay on task is what leads to a successful event. Event management begins with the process of creating a vision for the event and then seeing it through execution, which also requires creativity and flexibility.

Because project management is a key element and involves managing not only functions but teams of people, interpersonal skills are also important. Interacting with individuals at all levels of an organization is part of the job and has excellent communication skills and being satisfied and satisfying will go a long way in developing these relationships.
