This is not to say that a big event budget gives you a greater chance of doing the extra mile to get the best venue for your event, the best catering or the best entertainment. But that doesn’t mean that those events with smaller budgets should fall by the wayside into the ordinary realm. This means you have to use your creativity to handle budget restrictions.

Select Event Theme and Title

Choosing a theme for your event is the first step in setting your event apart from the rest. This theme drives many other components of your event, from venues, invitations, decorations, entertainment and more. So don’t miss this important part - resist the temptation to choose something easy to just get the ball rolling in the event planning process.

When you consider a theme, make a list of all the different ways that can be incorporated into other elements of the event.

Creative Ways to Combine Your Themes

Naturally, if the theme of your corporate event is a beach party, it is advisable to host your event at a beach venue. However, geographical estimates and locations can put a quick argument to that notion.

That doesn’t mean you have to choose a different theme! This means you need to think creatively to explore how you can combine this theme with other, cheaper or manageable logistics. Here are some creative event planning ideas.

Place

If your guests can’t get to the white sand beach for this event, then bring it to them. If the venue allows, get a locked event space section and fill it with sand. Add beach volleyball if your theme is more “fun in the sun” and encourage guests to stick their toes in the sand. Or add a large beach background, rent a tiki bar, and have a slow sound penetrating the waves in the background.

Entertainment

Driving the right entertainment can really take your event theme to the next level. If you are planning a party of important events, whether corporate or personal, then consider hiring a DJ who will only play music related to a particular era. If your event mood is quieter, explore hiring some instrumental players to play the appropriate music next door. To truly personalize your event, hire a Capella group to perform songs that have been written for guests, be it people or organizations.

Decor

The first thing you will see when guests arrive at your event is the decoration. Decoration creates a strong impression that your guests will bring with them to your event so make sure any element you choose has a “wow” factor. Consider a set of large tubes outside the entrance or colorful lights in place instead of standard white lights. Don’t forget the centers - your guests sit for a while looking at what you choose to use colorful table toppers that add energy and festive elements, take-away potted plants, or go with a small game that guests can play, encourage them to interact.

Food and drinks

Staff

Hiring event staff is an important part of event planning as these individuals will interact with guests and impact their overall experience. Consider your event theme and vibrate when you hire event staff to make sure it fits and can complement the theme. Clothing is also important here as it adds other creative elements. Event staff can wear referee shirts for sporting events, sunglasses and beach visors for beach parties, or simply colored down buttons to add a splash of color to the scene.

Small Touch Can Have Great Impact

As an event planner, you may fall into the trap of thinking that to have a successful, memorable event, you need to spend massively and best of all. This is not the case. Instead of thinking big, think small. Photos of honor guests lining the walls along the bar area give guests the opportunity to read, comment, and connect, whether it’s at noon or a graduation party. Empty notecards located next to the colorful boxes allow guests to write a personal wish for the guest of honor. Disposable cameras can encourage guests to record special moments from the event, to be shared later by the host of the event.
